Patrols Missing Sections

The Missing Sections function within the Patrols module allows users to map missing sections of a patrol route on the map, and relate those missing (unpatrolled) sections to a specific Patrol Report.

Notes:

  1. Patrols, Observations and Missing sections can be created within TransparentEarth and with the Mobile Patrols functions within PointMan.

There are multiple ways you can create a Missing Section for a Patrol Report.

  1. From within the Patrol Report (using Add or the Missing Sections tab).
  2. By searching for a Patrol Report or a Missing section, and adding a Missing Section to a Patrol Report that has already been saved. 
     

Creating a Missing Section from Within the Patrol Report

 

  1. Complete the process for Creating a Patrol Report.
  2. Before clicking Save on the Patrol Report, if you have selected the Partial check box for any Segment, you will need to complete the following: 
    a.Once the Partial check box has been selected, the Add button displays within the Add Missing? column, and the Missing Sections tab displays at the top of the dialog box. 
    b.The Date field populates with the current date.

    c.NOTE: If Partial is selected, the form is unable to be saved unless a Missing Section is added for that Segment.d.Click the Add button next to the Partial Segment. 
    OR, click the Missing Sections tab, then click Add New Missing Section button.

    Either option you choose, the dialog box disappears and the map displays zoomed into the Region, with the Region highlighted:

  3. Click the Draw Partial Segment icon:

    Your cursor will display as a light blue circle.
  4. Click on the map at the start of the Missing Section.
  5. Then, click on the map as many times as necessary to create the line in the proper shape and length.

    a.In addition, three buttons display (bottom right of window) for modifying the Missing Section line: 
    i.Undo: cancels the last added part of the line. 
    ii.Redo: replaces pieces of the line that were removed using "undo". 
    iii.Cancel: removes the added line so that the user may place it in a different location. 
    iv.To cancel out of the map and return to the Patrols dialog, click the Back to Edit Patrols dialog button (upper left corner).

  6. To end the line, double-click the last point in the line. 
    The New Missing Section dialog displays.
  7. Complete the New Missing Section/Section Details information: 
    a.Section Number: Automatically populates with the number of the missing section. Starts at 1 and counts up. 
    b.Patrol Number: Automatically populates with the Patrol Number once the Patrol has been saved. 
    c.Section Status: Automatically populates with Not Complete. Will change to Complete when the related Completion Log is completed, and the Section Complete? dialog is set to Yes. 
    d.Patroller: Automatically populates with the Patroller from the Patrol Report. 
    e.Observer: Automatically populates with the Observer from the Patrol Report. 
    f.Patrol Region: Automatically populates with the Region as selected in the Patrol Report. 
    g.Segment: Automatically populates with the Segment from the Patrol Report. 
    h. If there is more than one Segment selected as Partial, user will need to select the applicable Segment from the drop-down list. 
    i.Section Start 
    Mile/Kilometer Post Number: Manually enter the start post number. 
    Latitude: Automatically populates with the Latitude from the start point for the line just drawn on the map. 
    Longitude: Automatically populates with the Longitude from the start point for the line just drawn on the map. 
    ii.Section End 
    Mile/Kilometer Post Number: Manually enter the end post number. 
    Longitude: Automatically populates with the Longitude from the end point for the line just drawn on the map. 
    iii.Reason for Missing Section*: Select the applicable 'Reason for the Missing Section from the drop-down list. 
    iv.Date Created*: Automatically populates with today's date. 
    If the Patrol Date was selected before the new Missing Section was added, the Date Created will populate with this value initially. However, you can edit this date if necessary.
  8. Click the Add button (lower right). 
    The screen returns to the Patrol Report.
  9. Complete the Patrol Report.
  10. Complete the Observations process if there are Observations to report.
  11. Click Save.
  12. Click Yes.
  13. Click OK
    a.Click Close to close the entire Patrols dialog box.b.Or, click the Patrol DetailsMissing Sections, or Observations tabs as necessary to complete the Patrol Report.

 

Missing Section Confirmation Log

Once a missing section has been added, patrollers will need to ensure that the missing section is patrolled once every two (2) weeks. Once the Patroller has performed a special patrol for the missing section, or performs a completely new patrol over this missing section, the user can go into the Missing Section Log and set the Missing Section to Complete.

 

Creating and Completing the Missing Section Confirmation Log

  1. Locate the specific Patrol Report or Missing Section. See Searching for Patrols for more details.
  2. Open the Patrol Report, go to the Missing Sections tab, double-click on the applicable section. 
    From the list of missing sections, locate the applicable record.
  3. To Edit the missing section, double-click the section record (to go to Section Details tab), or click the Incomplete/Complete status button (to go to the Completion Log tab).
  4. Click the Incomplete button.

  5. Complete the tab as required: 
    a.Section Number: Automatically populates. 
    b.Patrol Number: Automatically populates from the Patrol Report. 
    c.Patrol Region: Automatically populates from the Patrol Report and the Missing Section Details 
    d.Completion Log Date: Click the calendar button and select the applicable date. 
    e.Field Representative: Select the name of the Field Representative from the drop-down list. 
    f.Patrol Method: Select the Patrol Method from the drop-down list. 
    g.Actions Taken: Enter details of the action that was taken. 
    h.Section Complete?:  Select Yes or No from the drop-down list. 
    i.If you select Yes, this Missing Section will now display as Complete. Asterisks will display next to all required fields (all are required) and the Completion Log Date will be automatically populated (if it isn't already).
  • If the Completion was completed by a special patrol specifically for this Completion, select the Completion Method and the Actions Taken states that are applicable to the patrol.
  • If the Completion was completed by a completely separate patrol, add the Patrol Method for that Patrol as Completion Method, and reference the Patrol number in the Actions Taken field.]

ii.If you select No, this Missing Section will remain incomplete.

  1. Click Update.
  2. Slick Save.
  3. Click Yes.
  4. Click OK.
  5. Click Close to close the entire Patrols dialog box.
  6. Or, click the Patrol DetailsMissing Sections, or Observations tabs as necessary to complete the Patrol Report. 
     

Adding a Missing Section to an Existing Patrol Report

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Locate the applicable Patrol Report
    See the Searching for Patrols topic for more details on how to locate a specific Patrol Report.
  4. Click the applicable Patrol Report from the results grid.
  5. Click the Edit Existing Patrol button. Or, double-click the Patrol Report record. 
    The Edit Patrols dialog displays.
  6. Click the Missing Sections tab. 
    From the Missing Sections tab, you can select an existing Missing Section to edit or Complete, or you can create a new Missing Section.
  7. Click the Add New Missing Section button.
  8. Follow the Create New Missing Section procedures to draw the Missing Section line on the map, and complete the applicable Section Details dialog box.
  9. Click Add.
  10. Click Save.
  11. Click Yes

     

Editing an Existing Missing Section From the Patrol Report

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Locate the applicable Patrol Report or Missing Section. 
    See the Searching for Patrols topic for more details on how to locate a specific Patrol Report.
  4. Click the record in the Search Results Grid, and then click Edit Existing Patrol, or Edit Missing Sections

  5. The Patrol dialog box will open with the general Patrol information, as well as the Missing Sections and Observations information.
  6. All tabs are available for edit.
  7. Click Save.
  8. Click Yes.
  9. Click OK.
  10. Click Close to close the Edit Patrols dialog box. 
     

Editing an Existing Missing Section From the Map

The Missing Sections layer displays a red line for all Missing Sections that are Incomplete
All Missing Sections that have been Completed do not display on the map.

Once a Missing Section is Complete, it will no longer display on the map.

You can open and edit a Missing Section by:

  1. Enabling the Patrols module (click the Patrols icon in the upper tool bar):

  2. Click the View/Edit Missing Section icon (third icon down):

  3. Click the applicable red line on the map. 
    The Edit Missing Sections dialog box opens to the applicable Missing Section Completion Log.
  4. Update the Missing Section as needed (update details, create a completion log to close or leave the section incomplete).
  5. Once edits are complete, click the Update button.
  6. Click Save.
  7. Click Yes.

 

Deleting an Existing Missing Section

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Locate the applicable Patrol Report or Missing Section

  4. Click the record in the Search Results Grid, and then click Edit Existing Patrol, or Edit Missing Sections

  5. On the Missing Sections tab, open (edit) the Missing Section record you wish to delete.
  6. Click the Delete button (lower right corner).
  7. Click Delete at the first confirmation prompt. 
    The Missing Sections tab will display, and the missing section will no longer be visible.
  8. Click Save.
  9. Click Yes.
  10. Click OK.
  11. Click Close to close the Missing Sections tab. 
    The Patrol Details tab displays.
  12. In the Segments area, clear the Partial check box next to the record for which you have deleted the Missing Section. 
    If you do not clear the check box, upon Save, the system will prompt you to create a Missing Section for all records that have the Partial check box selected.
  13. Click Close to close the Edit Patrols dialog box.
