Land - Land/Project Record of Contact eForm

 The Land Module provides the ability to create, edit and display the Land Record of Contact when a Landowner Consultation is held. This Land Record of Contact form will generally be created and modified by a Land Agent. This form may be completed in the field using a mobile device, or in the office on a desktop computer running the TransparentEarth software.

 

Steps to Complete a Land Record of Contact form

Listed below are the steps required to create and complete the Land Record of Contact form when performing a landowner consultation.

  1. Launch TransparentEarth. 
    TransparentEarth launches and the login screen appears.  
  2. Enter the User ID and Password and then click Sign In
    TransparentEarth opens providing the user a view of the map.
  3. Select the Land Projects menu item in the dashboard on the left of the screen. 
    The menu opens allowing the user to view the available choices.
  4. Select the Land Project Configuration menu item. 
    The user is presented with the Land Project Configuration Workbench in the bottom of the dashboard.
  5. Search for the Land Project: Enter the first few characters of the Project identifier in the Drill-Down Filter entry field. 
    The Project shows in the list of available selections.
  6. Select the Project and then double-click the highlighted record. 
    The user is presented the location of the project in the map display.
  7. Click the Layer Panel icon in the upper right of the map display to access the layers menu.
  8. Select the Land TractsPreliminary Route, and Land Record of Contact Forms layers, and click on the Layer Pane icon in the upper right to close the layer display. 
    The user is able to choose and display the desired layers and close the layer menu.
  9. View the existing information for a tract in the display. 
    Select the Info icon in the TransparentEarth main tool bar (if it is not already highlighted) and then select the tract to view the information. 
    Click Close after viewing. 
    The system presents a dialogue box to the user allowing them to scroll though the tract and stakeholder information and then close the view to return to the map view.
  10. Select the Land Module icon to access the PointMan toolset. 
    The user is presented with a new set of icons in the upper left of the map display providing access to the New Feature function.
  11. Select the PointMan icon and then place the cross-hairs inside the parcel boundary and left-click. 
    The user is presented with a New Place Mark dialogue box.
  12. From the System drop-down, select Form, then click the OK button. 
    The user is presented with a list of the forms that the user is authorized to use.
  13. Select the Land Record of Contact form for that stakeholder, then click the OK button 
    The user is presented with a new screen allowing edit capabilities in certain fields in the form and view only in others.
  14. Review and complete the Land Record of Contact Form entries. 
    The user is able to make entries in any fields in the form that are not display only.
  15. When you have completed all of the entries in the form click the Save button at the top of the form display screen. 
    The user is able to save the form to the database. 


Steps to edit an existing Land Record of Contact form

  1. Select the Land Projects category in the TransparentEarth dashboard. 
    The Land Projects menu opens displaying the next level of menu choices.
  2. Select the Land Project Configuration menu item. 
    The user is presented with the Search Transparent Earth Workbench in the bottom of the dashboard.
  3. Find the desired record by filtering the search results. Enter the filter criteria in the Drill-Down Filter field. 
    The user is presented with the list of forms that meet the search criteria.
  4. Select the Project and then double-click the highlighted entry. 
    The user is presented the location of the project in the map display.
  5. Hover the cursor over the form point to ensure that the correct record is highlighted, select the Info button at the top of the map display, and then select the point to access the information. 
    The user is presented the contents of the form in a tabular view.
  6. Scroll through the tabular data to the bottom of the dialogue box. 
    The user is able to view the database table field values.
  7. Open the form by clicking on the View eForm hyperlink inside dialogue box. 
    The user is presented with a new screen allowing edit capabilities in certain fields in the form and view only in others.
  8. Select the Edit button at the top of the form and make any desired changes. 
    The user is able to modify the contents of the form.
  9. Select the Save button at the top of the form to save the changes. 
    The user is able to save the form and the user is returned to the map display
