Form Status Rules and Email Notifications

This help topic is an outline of each Status and the rules that apply.
Contents
Pending
| Email Notifications | My Notifications Tasks | Form State | Status Workflow |
| No notifications are sent upon save of a form or report in the Pending status. | No tasks will display in the My Notifications window. | The form or report is simply saved, and is still available for edit. | From Pending, users can only move the form or report into the Submitted status. |
Submitted

| Operation Maint Forms: Email notification will be sent to the Supervisor as selected on tab A of the form. | For the Supervisor, a task will display in the My Notifications window. | Users can still edit the form or report if it has not yet been Approved. However, users will not be able to modify the Status of the form or report. | From the Submitted status, Adminusers can change the status to either Approved or Rejected. |
| Pigging and Leak Reports: Email notification will be sent to the Supervisor selected on the first tab of the report. |
Approved

| No emails sent upon Approval. | Operations Maint Forms: For GIS Administrator, task will display in the My Notification window. | Form is only available for edit by Adminusers. | If the Approver needs to change the Status, they will need to contact an Adminuser to have the status changed to Pending, Submitted, or Rejected. |
| Pigging and Leak Reports: For Submitter, task will display in the My Notification window. | The Status field is locked for all users except Admin users. | ||
Rejected

| Operation Maint Forms: Email notification is sent to the Submitter, requesting that the form be corrected and resubmitted. | Operation Maint Forms: For Submitter, tasks will display in the My Notificationswindow. | Form is available for edit by Edit users. | Once a form has been moved into the Rejected status, an Admin user can change the status to Approved, Pending, or Submitted. |

Operation Maintenance Tab F P&ID Change
Tab F displays one notification option. If the P&ID Change radio button is set to YES, the following rules apply:

Operation Maintenance Features (Valves, points, lines, comments, etc...)
For each Feature that is created, if the Notify GIS Technician radio button is set to YES, the following rules apply:
