Create Patrol Report

Creating a Patrol Report requires users to complete the following workflow:

  1. Create a Patrol Report (using either TransparentEarth or PointMan).
  2. If any Segments are only partially patrolled, create Missing Sections.
  3. If any Observations are observed, Create Observations.
  4. Only after the ReportMissing Sections, and Observations have all been completed, can a user save the full Patrol Report.
  5. If a Patrol had no Missing Sections, and no Observations, then the user does NOT need to complete the Missing Sections and Observations processes.
  6. Once a Missing Section has been completed (fully patrolled), users will need to create a Missing Section Completion Log so that it is cleared from the map display the Status is changed to Completed.
  7. Once an Observation has been addressed, user will need to create an Observation Confirmation Log so that is it cleared from the map display and the Status is changed to Closed.

Notes:

  1. Patrols, Observations and Missing sections can be created within TransparentEarth and with the Mobile Patrols functions within PointMan.

Creating a Patrol Report within TransparentEarth

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Click the Patrols Module icon in the tool bar.

    a.Generate Patrol Report 
    b.View/Edit Reported Observations 
    c.View/Edit Missing Section 
    d.Delete Reported Observations

  4. Click the Generate Patrol Report button.

    The Edit Patrols dialog box opens.

  5. Enter the 'Patrol Details as required: 
    Patrol Method: Select the Patrol Method from the drop-down list. 
    a.Aircraft: If you selected Aerial as the Patrol Method, then you must also select the aircraft identifier from the drop-down list. 
    b.Patrol ID: Automatically populates with the Patrol ID when the record is saved. 
    c.Patrol Number: Automatically partially populates. 

    i.User can modify the last three (3) digits in this field to display the Patrol Number in the following format only: YY-WW-NNN 
    ii.Dashes will automatically populate in positions 3 and 6 upon save. 
    iii.The YY (Year) and WW (Week) will autopopulate. The user must fill in the last three numbers of the patrol. 
    iv.Does not allow for consecutive dashes. 
    v.User-entered dashes are allowed once the default format/length has been reached. 
    vi.Max 7 numerals. 

    d.Patrol Purpose: Select the Patrol Purpose from the drop-down list. 
    e.Patroller Name: Select the Patroller Name from the drop-down list. 
    f.Observer Name: Select the Observer Name from the drop-down list. 
    g.Patrol Region: Select the Patrol Region from the drop-down list. 
    When the Region has been selected, a list of all segments within that region populates the Region/ROW Segments area.

    Select the check box to the left of all applicable fully patrolled segments.

    i.Clicking the left check box indicates a full and complete patrol for that segment. 
    The Date field will automatically populate with today's date. User can edit this as needed by clicking the calendar button. 
    Selecting the date before selecting the check box will automatically select the check box for you. 
    If you clear the check mark, the date will clear as well. 
    ii.Clicking the Partial check box (the right check box) indicates that the segment was only partially patrolled.

    iii.If any Segments are selected as Partial, you will not be able to save the Patrol Report until you complete the Missing Sections process. 
    i.Observations Noted: 
    Select the Yes radio button if you have Observations to report. 
    i.Select the No radio button if you do not have any Observations to report. 
    ii.NOTE:  If you select Yes, you will not be able to save the Patrol Report until you complete the Create Observation process. 
    j.Patrol Comments: Enter any applicable or specific comments about this Patrol Report in general.
  6. Click the Save button. 
    a.If Partial is selected for any Segment, you cannot save the Patrol without first creating a Missing Section. See Patrols - Missing Sections. 
    b.If Partial is NOT selected for any Segment, you can save the Patrol Report and exit from the Create Patrol Report Process. 
    c.If Observation Noted is Yes, you cannot save the Patrol without first creating and Observation. See Create Observation. 
    d.If Observation Noted is No, you can save the Patrol Report and exit from the Create Patrol Report process.
  7. Click Yes to save the new Patrol Report.
  8. Click OK to confirm new Patrol Report is complete.
  9. Click Close to close the Patrol Report dialog.

 

Editing an Existing Patrol Report

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Locate the applicable Patrol Report. 
    See the Searching for Patrols topic for more details on how to locate a specific Patrol Report.
  4. Click the record in the Search Results Grid, and then click Edit Existing Patrol
    Or, double-click the record in the Search Results grid.

  5. The Edit Patrols dialog displays. 
    The Patrols dialog box displays, with all currently saved Patrol details, as well as the Missing Sections tab and Observations tab.

  6. All tabs are available for edit.
  7. Once your edits are complete, you must click the Save button at the bottom of the Patrol Details dialog and tab.
  8. Click Yes at the first confirmation prompt.
  9. Click OK at the second confirmation prompt.
  10. Click Close to close the Edit Patrols dialog box.

 

Deleting an Existing Patrol Report

  1. Launch TransparentEarth by opening a Chrome web browser and entering your TransparentEarth URL.
  2. Log into TransparentEarth by entering your User ID and Password, and click Sign In.
  3. Locate the applicable Patrol Report. 
    See the Searching for Patrols topic for more details on how to locate a specific Patrol Report.
  4. Click the record in the Search Results Grid, and then click Edit Existing Patrol
    Or, double-click the record in the Search Results grid.

  5. The Edit Patrols dialog displays. 
    The Patrols dialog box will display, with all currently saved Patrol details, as well as the Missing Sections tab and Observations tab.
  6. Click the Delete button.
    1. NOTE: If there are any open Observations, or any incomplete Missing Sections, you will not be allowed to delete the Patrol Report.
  7. Click Delete at the first confirmation prompt. 
    Or, click Cancel to cancel the process.
